This role is a golden opportunity for those with a strong background in office administration and bookkeeping, ready to tackle challenges head-on and create efficient operational workflows. As a linchpin between various teams, you'll ensure smooth office operations and accurate financial records, contributing to our mission of redefining human-robot interaction.

This role is located onsite at our Seattle, WA office. (Please note: this is a fully onsite role, and a consistent in-office presence is required for 5+ days/week, with the ability to flex based on business needs. Our office is located in the University District.)

Responsibilities:

  • Provide administrative support to ensure efficient office operations, including managing correspondence, filing documents, and handling inquiries.
  • Manage expenses and invoices, preparing financial reports, and handling confidential information with integrity and discretion.
  • Maintain office supplies inventory, coordinate repairs and maintenance for office equipment and facilities, and ensure the office environment is clean and orderly.
  • Assist with scheduling meetings, booking conference rooms, and coordinating meetings onsite.
  • Organize office events and gatherings, distribute incoming mail, and manage outgoing correspondence.
  • Serve as a point of contact for internal and external communications, coordinate with vendors and service providers, and partner with other teams for ad hoc projects in support of long-term initiatives.

In support of our VP of Finance & Strategy and general leadership operations, you may also:

  • Manage the scheduling and coordination of leadership team meetings, providing cadence and structure to weekly schedules. Facilitate internal meetings and coordinate follow-up actions based on meeting outcomes.
  • Assist the VP of Finance & Strategy with the editing and compilation of pitch decks and board presentations.
  • Serve as the first point of contact for our Seattle site, handling communications via email, phone, or other media.

Minimum Qualifications:

  • Proven experience in office management.
  • Proficiency in Google Workspace and/or Microsoft Office Suite (Word, Excel, Outlook).
  • Exemplary organizational and multitasking skills with attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Must have and maintain US work authorization.

Preferred Qualifications:

  • Bachelor's Degree in Business Administration, Accounting, or a related field.
  • Bookkeeping and office financial reconciliation experience.
  • Experience in a startup or high-growth company.
  • Familiarity with HR practices and procedures.
  • Advanced skills in data analysis and financial reporting.
  • Background in managing office renovations or relocations.
  • Innovative problem-solving skills with a proactive approach to improving office operations.
  • Proficiency in accounting software (e.g., QuickBooks) and expense management.

The base salary range for this position is $65,000 - $90,000 annually plus equity and comprehensive benefits. Our salary ranges are determined by role and experience level. The range reflects the minimum and maximum target for new hire salaries for the position in Seattle, WA. Within the range, individual pay is determined by additional factors, including job-related skills, experience, and relevant education or training.
